Artwork Status

A user recently sent us a question in regards to updating the status of an artwork when it is being sent to a show. We thought that we'd share that information with our users.

The original question......

I have set up a show and selected the entries and show them as entered and excepted but the art record doesn’t show any thing about the show. I need to know this painting is committed to a show & a report that shows the time frame.

And here is some information in regards to that question.....

The provenance data in Artwork gets updated when you mark the work as “shipped”.

There are reports that you can look at to get this information as well. The “Artwork Detail Long” report will show the current status of an artwork, regardless of whether it’s show status is “entered”, “accepted”, or “shipped”. Another report that provides this information is a report called “Show Timeline Entries by Entry Date”.

You might also take a look in Chapter 7 of the User’s Guide, “Show Entries”, which provides some additional information.

Hi Ron – thanks, but I don’t have the option for the “Show Timeline Entries by Entry Date” report. I’m using version 3.07.09a on a vista machine.

Try looking in the reports list that is under the “Show Entries” function on the main switchboard.

An additional comment from our user....

Wow, thanks I knew there must be something I was missing. I have had this program for a long time but have been using an excel spreadsheet for my inventory and mailing list and doing fine until I thought I had double entered a painting in a show. So, I imported my current inventory into the program and really didn’t have too much trouble doing it. Soon I’m going to import the sold work. I have never worked with Access but have worked with Timberline Construction Software for a number of years and have worked with text files and importing & exporting data. It might be easier if you put a report button on the main switch board for all the reports in a future enhancement. Thanks again.
