Accounting functions in WorkingArtist

An artist recent asked about the availability of accounting capability in WorkingArtist. We thought that we would share that information with our user community as well.

Hi,

Thanks for your question about WorkingArtist. My name is Ron Gafron and I’ll be assisting you.

The current design of WorkingArtist does not include accounting capability. However, there are a number of reports available in the Invoices section of WorkingArtist that can assist with the collection of information as might typically be sent to an accountant, or entered into an accounting system, such as Quickbooks. From the Main Switchboard, you can click on Invoices, and once in the Invoice List form, you will see a tab labeled “Reports”. From the Reports form, you can select from any number of stock reports including “Gross Sales”, “Gross Sales by Tax Type”, etc. For more information, please reference Chapter 11 of the User Guide.

Working Artist does not currently support the transfer of data from WorkingArtist to an accounting application such as QuickBooks, but it is being considered for a future release. While WorkingArtist does include the capability to extract data in a delimited text file format, transferring data to accounting systems usually requires that a specific standard be followed. We will most likely not be adding full accounting functionality to WorkingArtist; there are many other applications designed specifically for this purpose and it is more likely that we will provide a standard interface to one or more of these systems instead.

An additional comment from the artist....

Thank You Ron! Sorry I am late saying Thank You but we have opened a fine art gallery and have been going night and day to get it open. So....for another question...I have the program on my personal computer and would like to buy a laptop for the Gallery so we can use it to make invoices and all of the other wonderful things it does. Will I be able to download the program from the laptop I am using right now to a new one that stays at the store?

Yes, it is possible to load WorkingArtist on to two different computers and share the data file between them. Instructions on how to accomplish this are in our Knowledgebase Article Q1025 - Transferring Data Between Two Non-Networked Computers. It is available at the website at [www.workingartist.com]. Although the instructions talk about installing WorkingArtist from an installation CD on both computers, you can just as easily download it from the WorkingArtist website on both computers to accomplish the same thing. The important thing is to be sure to have the same version of WorkingArtist running on both your PC and your laptop.

On the other hand, if your plan is to have one copy of WorkingArtist on your PC for your personal use, and another running at your gallery for the gallery's use, that can also be done (in other words, separate information on each computer), but requires a separate license for each use. One copy would be under your name, and the other would be under the gallery's name.

Note that WorkingArtist is not designed for gallery use at this point. I do plan to pursue a gallery version in the future, but can't share any availability information for now.
